We use your business contact details for relevant marketing, and every message has a one-click opt-out. We never use customer production data — calls, transcripts, candidate records — for our own marketing or to train shared models. AI outputs are decision support with a human in the loop, not unreviewed automated judgements about you. You can access, correct, delete or port your data by writing to support@arivyam.com. ## 1. Who we are and what this covers Arivyam Technologies ("Arivyam", "we", "us") is a deep-tech AI company providing technology services and two products: Tugume, an AI hiring and talent-intelligence platform, and Wobix, a conversational AI platform for voice and chat. This policy covers personal information we handle through arivyam.com, our marketing and events, our sales and recruitment activity, and our products where Arivyam is the controller of the data. Where a business customer deploys Tugume or Wobix to process data about its own candidates, customers or employees, that customer is the controller and Arivyam acts as its processor under a written data processing agreement. In those cases the customer’s own privacy notice governs, and we handle data only on their documented instructions. ## 2. Information we collect Information you give us - Identity and contact details — name, business email, phone number, company, role, country. - Enquiry content — what you tell us in a form, email, demo request or support request. - Recruitment data — CV, work history and interview notes if you apply to Arivyam. - Commercial data — contract, billing and procurement details for customers and suppliers. Information we collect automatically - Device and connection data — IP address, browser, operating system, approximate location derived from IP. - Usage data — pages viewed, referring source, links clicked, time on page, and marketing campaign identifiers. - Cookies and similar technologies, as described in section 9. Information from our products - Wobix processes conversation content: audio of calls, transcripts, chat messages, phone number, call metadata (time, duration, outcome) and any documents a caller submits during a verification flow. - Tugume processes candidate and role data: CVs, screening responses, interview transcripts and structured evaluation scores. - In almost all deployments this data belongs to our business customer, and section 1 applies. Information from third parties - Business contact data from professional networks, event organisers, partners and reputable business-data providers, used to reach relevant business audiences. - Analytics and advertising platforms that report on campaign performance. We do not seek special-category data (health, biometrics, religion, political opinion and similar) and ask that you do not submit it through our forms. Voice recordings are processed as ordinary personal data for conversation handling and quality, not to biometrically identify a speaker, unless a customer has separately and lawfully configured that. ## 3. Why we use your information - To respond to enquiries, run demos, scope work and provide our services. - To operate, secure, support and improve arivyam.com, Tugume and Wobix. - To send you marketing about our services and products — see section 4. - To measure and improve our marketing, including which campaigns and content lead to enquiries. - To manage contracts, invoicing, accounting and supplier relationships. - To assess job applications. - To detect and prevent fraud, abuse and security incidents. - To comply with law and to establish or defend legal claims. Where the law requires a legal basis, we rely on: performance of a contract; your consent (for example, optional cookies and, where required, marketing email); our legitimate interests in running and growing a business responsibly; and compliance with legal obligations. ## 4. Marketing — what you are agreeing to We want this to be plain rather than buried. When you submit a form, request a demo, download material, or meet us at an event, we may use your business contact details and the information you gave us to send you marketing about Arivyam services, Tugume and Wobix — by email, phone, or professional networks such as LinkedIn. We may also use that information to build audience segments, to measure campaign performance, and to show you or people with a similar business profile our advertising on third-party platforms. We do this using pseudonymised or hashed identifiers wherever the platform supports it. - We market to business audiences, not to consumers, and we keep the volume low and the content relevant. - Where consent is required in your jurisdiction, we ask for it before the first marketing message and we record it. - Every marketing email carries a one-click unsubscribe. You can also email support@arivyam.com at any time and we will stop. - Opting out of marketing does not affect service, support or contractual communications. - We do not sell your personal information, and we do not share it with third parties for their own independent marketing. We do not use customer production data — call recordings, transcripts, candidate records or any content processed on a customer’s behalf in Tugume or Wobix — for our own marketing, ever. ## 5. How our AI uses information AI capability does not change the rules that apply to your data. It does mean we owe you a clear account of how automated processing works. - Wobix is pre-trained on general and industry knowledge and is then configured on a customer’s own documents, policies and workflows. That customer content stays scoped to that customer’s deployment. - We do not train shared or general-purpose models on customer production data, on call recordings, on transcripts, or on candidate records, unless a customer explicitly instructs us to in writing for their own tenant. - Where we use third-party model providers, they act as sub-processors under contractual terms that prohibit them from training their own models on our customers’ content. - AI outputs — a screening score, a summary, a recommended next action — are decision support. They are designed to be reviewed by a person, and our products carry escalation paths to a human. - We do not make decisions with legal or similarly significant effect about an individual using solely automated processing without a lawful basis and a right to human review. In hiring contexts, our customers are contractually required to keep a human decision-maker in the loop. - We test our systems for accuracy and for unfair or unexplainable outcomes, log automated actions for auditability, and apply guardrails that restrict what an agent may do and which systems it may touch. If an AI-assisted process has been used in a decision about you and you want an explanation or a human review, contact us at support@arivyam.com and we will route it to a person. ## 6. Calls, recordings and conversational data Wobix conversations may be recorded and transcribed to deliver the service, to complete the task you asked for, to maintain quality and to meet legal or regulatory record-keeping duties. - Where notice or consent is required, the caller is informed at the start of the conversation and can decline or ask for a human. - You can ask to be transferred to a human, and you can ask that a recording be deleted, subject to any retention obligation that applies to the underlying transaction. - Payment card details and similar sensitive fields are handled through masked or redacted flows wherever we control the design. ## 7. When we share information We share personal information only where it is necessary, and always under contract: - Service providers and sub-processors — cloud hosting, telephony, email and CRM, analytics, model providers, support tooling. They may process data only on our instructions. - Business customers — where we process data on their behalf, we return it to them. - Professional advisers, auditors, insurers and banks, where needed. - Authorities, where we are legally compelled, and only to the extent required. - An acquirer or successor, in a merger, acquisition or reorganisation, subject to this policy. We maintain a current list of sub-processors for Tugume and Wobix and make it available to customers on request. ## 8. International transfers Arivyam operates from India and works with customers and providers in other countries, so your information may be processed outside your own. Where we transfer personal data across borders we use a recognised safeguard — an adequacy finding, Standard Contractual Clauses, or an equivalent mechanism — together with encryption in transit and at rest. Customers with data-residency requirements can ask us about regional hosting options before deployment. ## 9. Cookies and analytics arivyam.com uses cookies and similar technologies. Strictly necessary cookies keep the site working and cannot be switched off. Analytics and marketing cookies are optional: where the law requires it we ask for your consent before setting them, and you can change or withdraw that choice at any time. Your browser also lets you block or delete cookies. Blocking necessary cookies may affect how the site behaves. We honour Global Privacy Control and similar opt-out signals where they are legally recognised. ## 10. How long we keep information - Website enquiry and marketing records — up to 24 months from your last interaction, then deleted or anonymised. - Customer and supplier contract, tax and accounting records — as long as required by law, typically up to 8 years. - Recruitment records — up to 12 months after a decision, unless you ask us to keep them longer. - Product data processed for a customer — for the retention period set in that customer’s agreement, then deleted or returned. - Security and audit logs — typically 12 months. ## 11. How we protect information We apply encryption in transit and at rest, role-based access control on a need-to-know basis, network segregation, secrets management, logging and monitoring, secure development practices, vendor due diligence and staff training. Access to production data is restricted, logged and reviewed. No system is absolutely secure. If a breach affects your personal information we will notify you and the relevant regulator where the law requires, without undue delay. ## 12. Your rights and choices Depending on where you live, you may have the right to: - Access the personal information we hold about you and receive a copy. - Correct information that is inaccurate or incomplete. - Delete information, where no overriding obligation requires us to keep it. - Restrict or object to processing, including processing based on legitimate interests. - Withdraw consent, at any time, without affecting processing already carried out. - Opt out of marketing and of targeted advertising, and of any sale or sharing of personal information — we do not sell it. - Data portability, where applicable. - Nominate another person to exercise these rights on your behalf, and to complain to your data protection authority. Email support@arivyam.com to exercise a right. We may need to verify your identity. We respond within the timeline set by applicable law — generally 30 days — and we will not treat you differently for exercising a right. If your request concerns data we process for one of our business customers, we will refer you to that customer and support their response. ## 13. Children Our website, products and services are intended for business use by adults. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact support@arivyam.com and we will delete it. ## 14. Changes and how to reach us We update this policy as our products, providers and obligations change. The effective date at the top always reflects the current version, and we will give notice of material changes through the website or by email where we hold your address.
